WHAT INFORMATION DO I COLLECT?
When you contact Ebylife or complete the sign-up form, I may collect your name, contact details, service preferences, goals, availability and anything else you choose to include in your enquiry.
If you become a client, I may also keep booking information, workout plans, progress notes, food diaries, payment records and our communications by email, telephone or WhatsApp.
You may choose to provide relevant information about injuries, health conditions or dietary circumstances. I use this only to assess your needs and deliver your training or coaching safely and appropriately. Health information is processed with your explicit consent.
If you subscribe to Check It Oot, I collect your email address and subscription status.
Stripe processes card payments. Ebylife receives confirmation and limited transaction information but does not receive or store your full card details.
The website may also collect technical information such as your device, browser, approximate location, pages visited and interactions with the site.
WHY DO I USE YOUR INFORMATION?
I use personal information to:
Respond to enquiries
Decide whether an Ebylife service is suitable for you
Arrange and deliver training or coaching
Plan workouts and monitor progress
Manage bookings, payments and business records
Send Check It Oot when you have subscribed
Understand and improve the website
Meet legal, tax and accounting obligations
The legal basis will depend on the purpose. It will normally be taking steps at your request before a booking, providing a service you have booked, complying with the law, pursuing a legitimate business interest or acting with your consent.
You can withdraw consent at any time. This will not affect processing that has already taken place or information I must retain for another lawful reason.
WHO PROCESSES YOUR INFORMATION?
I do not sell personal information.
The services Ebylife uses include:
Squarespace for the website and online forms
Google Workspace for email
EmailOctopus for Check It Oot
Stripe for payments
WhatsApp when you choose to communicate through it
Plausible Analytics, Google Analytics and Microsoft Clarity for website measurement and improvement
Professional advisers or public authorities may also receive limited information where advice or the law requires it.
For corporate group fitness, outside coaches receive only the practical information needed to deliver the session. I do not give them participant names, fitness records or health information.
Some providers may process information outside the European Economic Area. Where required, recognised safeguards such as an adequacy decision or the EU Standard Contractual Clauses are used.
COOKIES AND ANALYTICS
Squarespace uses cookies needed to operate and secure the website.
Plausible provides general website statistics without using cookies or building profiles of individual visitors.
Google Analytics and Microsoft Clarity help me understand how visitors use the website. Clarity may provide heatmaps and reconstructed session recordings. Nonessential analytics is controlled through the website’s cookie choices where consent is required.
Ebylife does not use Google AdSense, personalised advertising cookies or the Meta Pixel.
HOW LONG DO I KEEP INFORMATION?
I keep personal information only for as long as it is reasonably needed.
Enquiries that do not become bookings are normally deleted within 12 months. Routine client and coaching records are normally kept while we work together and for up to two years afterwards.
Invoices and transaction records are kept for the period required by Spanish law. Newsletter information is kept until you unsubscribe, although a limited record may remain so that your unsubscribe request continues to be respected.
Information may be kept longer where reasonably necessary to deal with a dispute or legal claim.
HOW DO I PROTECT YOUR INFORMATION?
Access to client information is limited to me and the service providers needed to run Ebylife. I take reasonable steps to protect it against loss, misuse and unauthorised access.
No online service is completely secure, so please do not send sensitive information that is not relevant to your enquiry or service.
YOUR RIGHTS
Depending on the circumstances, you may ask me to:
Provide a copy of your personal information
Correct inaccurate information
Delete information
Restrict or stop certain uses
Provide certain information in a portable format
You may also withdraw consent and object to direct marketing at any time.
To exercise your rights, email martin@ebylife.com. I may need to confirm your identity before completing the request.
You can also complain to the Spanish Data Protection Agency.
People under 18
Ebylife services are not offered to people under 18. I do not knowingly collect personal information from anyone under 18.
CHANGES TO THIS POLICY
I may update this policy if Ebylife’s services, providers or legal obligations change. The latest version will always appear on this page.
